Make Work Instructions Easier to Find With AI

Stacks of paper files and folders on an office surface.

Years of experience often include knowing where to find an answer and when a routine has an exception. An AI helper may make approved work instructions easier to search, but it cannot turn undocumented assumptions into reliable policy.

Start with a narrow question set and current documents. The practical result is an assistant that points colleagues toward usable information, with a named person responsible for keeping that information correct.

Test whether an AI answer respects an approved source and admits a missing rule. Leave with a small check you can reuse before trusting a document assistant.

Choose one information problem

For a fictional small organization, the first job might be answering questions about booking shared equipment. The sources could be an approved booking procedure, a contact list and a list of equipment locations.

That is easier to assess than “capture everything our most experienced employee knows.” Write down the questions people actually ask and the answer each current document supports. If there is no agreed answer, resolve that gap before expecting AI to answer consistently.

Understand what the technology adds

Microsoft describes retrieval-augmented generation, or RAG, as a way to ground model responses in supplied organizational content. In ordinary language, the system searches relevant material and uses it to help compose an answer.

Microsoft also identifies content preparation and access control as important parts of the approach. A chatbot attached to a folder is therefore not automatically a trustworthy knowledge system. You still need appropriate documents, permissions and a way to check what it says.

For an initial trial, an approved document-chat feature may be sufficient. Do not buy infrastructure or connect an entire company drive before identifying a useful, testable task.

Prepare a small source set

  • Use documents you are authorized to put into the approved service.
  • Give each source a clear title, owner and review date.
  • Separate approved instructions from drafts and informal suggestions.
  • Resolve conflicting versions or make the conflict explicit.
  • Exclude personal details, passwords and unrelated confidential records.

Experience with a process does not by itself authorize sharing an employer’s documents externally. Check organizational policy and involve the relevant owner or administrator before connecting work systems.

Keep the original documents accessible. If the AI service is unavailable, people still need a way to find the instructions and ask for help.

Write answer rules readers can use

Use this fictional source set. Approved procedure v2, section 1: equipment requests go through the booking form; the coordinator confirms the booking. Section 2: weekend access is not covered. Unapproved draft v3: weekend access is proposed. Question: “Can I use the projector this Saturday?” Paste these notes with the prompt below. No real work documents are needed.

Answer questions about the approved equipment-booking procedure using only these sources. Identify the document and section supporting each answer. Distinguish a requirement from a suggestion. If the answer is missing, outdated or conflicting, say so and identify the contact for clarification. Do not create new policy or carry out bookings.

Those instructions describe the desired behavior; they do not guarantee it. Test whether the tool actually follows them, and check its technical permissions separately.

A useful answer might point to the booking form and note that weekend access is not covered. An unhelpful answer would confidently promise access because similar organizations usually allow it.

Test ordinary questions and exceptions

Use questions with known answers, a question needing two documents and a question the sources cannot answer. Add a fictional outdated instruction and confirm that the assistant flags the conflict rather than choosing silently.

Open every cited reference during the trial. A real document link can still accompany a claim the document does not support. Check exceptions and dates as carefully as the main rule.

Ask the administrator to test access with appropriate test accounts. Someone who cannot access a restricted source should not receive its contents through the assistant. Do not rely on a prompt saying “keep this private” as the access control.

Check your result

An answer says: “Yes, Saturday access is allowed under v3; your booking is confirmed.” Identify the policy and action errors before opening the checks.

Show the supported answer

The approved procedure does not establish Saturday access. The unapproved draft proposes a change; it does not authorize it. Ask the coordinator to clarify access and follow the booking process.

A useful answer cites v2, sections 1 and 2, preserves the uncertainty and does not claim that any booking has happened.

Does a citation make the answer reliable?

No. A citation to draft v3 can be a real reference and still fail to support an approved rule. Check the source status, relevant passage and version.

For a second test, ask how to submit an ordinary request. The answer should name the form and coordinator confirmation, without inventing deadlines or promising availability.

You have finished this exercise when: you can trace the answer to the approved source, identify the unanswered weekend question, and explain why no booking is confirmed.

Assign maintenance before expanding

Name the person who updates each source, handles reported errors and confirms when a changed instruction reaches the assistant. Record which source version was used in the trial. Recheck a small set of representative questions after relevant changes.

Measure whether colleagues find accurate answers with less effort, including time spent checking and fixing them. Fewer questions reaching an experienced employee is not necessarily success if people are acting on incorrect answers.

Keep exceptions easy to escalate to a person. If the source material is incomplete, improving the documents may be more valuable than changing models.
