Use Your Voice to Write With AI

If ideas come more easily when you talk, voice typing can help you get them onto a screen. You can then ask an AI writing tool to organize the text. These are two separate steps, and checking the first makes the second more useful.

For readers in their 40s, 50s, and beyond, this is another way to work with familiar devices. Try it because it suits you, whether you are drafting a community announcement, remembering a project idea, or giving your hands a break.

Turn a spoken note into a checked invitation

You will finish with: A checked invitation that preserves the meaning of the original note.

No account needed for the on-page example

Before you start: No earlier lesson or microphone is required for the supplied text example. To try actual dictation, use a device microphone and a dictation feature you have chosen to enable.

Cost and access: the on-page example and checks are free. No upload or paid feature is required. Trying the prompt in another AI chat is optional; that service’s access limits and prices apply.

Choose the kind of voice help you need

  • Dictation or voice typing turns speech into written words. Some features also tidy spelling, punctuation, or wording, so check the captured meaning as well as the spelling.
  • A conversational AI assistant responds to what you say. Its reply may include mistakes, just like a written AI answer.
  • Voice control lets you operate supported device functions with spoken commands.
  • A synthetic or cloned voice produces audio. You do not need to create a copy of your voice to dictate a paragraph.

For a first experiment, choose dictation in a notes document. A microphone button inside a messaging app might instead record an audio message, so check the button’s purpose before using it.

Start with a device you already have

On Windows 11, click inside a text box and press the Windows key and H together. You need a working microphone and an internet connection: Microsoft’s voice typing uses online speech recognition. Wait for the listening indicator, speak, then use the microphone control to stop. See Microsoft’s voice typing instructions.

On iPhone, tap the Dictation microphone on the onscreen keyboard. If it is missing, check Settings, General, Keyboard, then Enable Dictation. Availability varies by language and region. Apple’s Dictation guide explains the controls and privacy settings.

Use a quiet spot and your normal speaking voice. You can try the built-in microphone before buying a headset or any other equipment. Start in a blank note so you can practice without sending anything.

Try this short spoken note

Read this fictional note into a blank notes document using your device’s dictation feature. If dictation is unavailable, type it and practice checking the rewrite instead.

The book swap is on October 12 at 2 p.m. in Room 4. Bring up to three books. We are not collecting money. Ask people to reply by October 8. We have not decided whether refreshments will be available.

Read the transcription immediately. Check the date, time, room number, book limit, and the word “not.” Correct them yourself if needed. A polished rewrite cannot reliably recover a word the microphone missed.

For the fictional invitation practice, copy the complete prompt below. To work with your own note later, replace the fictional note with checked, non-sensitive text.

Turn the note below into a friendly invitation of no more than 90 words. Use only the supplied facts. Preserve every date, time, number, and restriction. Do not add refreshments, prices, contact details, or promises. Put unanswered questions below the invitation. Do not send anything.

Fictional note: The book swap is on October 12 at 2 p.m. in Room 4. Bring up to three books. We are not collecting money. Ask people to reply by October 8. We have not decided whether refreshments will be available.

A satisfactory draft should say that no money will be collected and that people can bring no more than three books. It should not announce that snacks will be provided. Read the final invitation before copying it into an email.

Compare your invitation with a worked example

Here is one illustrative rewrite of the fictional book-swap note:

Join our book swap on October 12 at 2 p.m. in Room 4. Bring up to three books. We are not collecting money. Please reply by October 8.

Unanswered question: Will refreshments be available?

Notice that the reply date is separate from the event date, the three-book maximum remains a maximum, and refreshments stay an open question. If your draft changes one of those details, correct it before using the invitation. You can ask for warmer wording after the facts are right.

Worked example added October 5, 2026. This is fictional practice material, not an actual event announcement.

Fix the cause when the words go wrong

If several words are incorrect, check the selected language and microphone. Move away from background speech and try one short sentence. If only a person’s name is wrong, type the correction; repeatedly dictating the same name may take longer.

If the transcription is accurate but the rewritten message changes a fact, the problem is in the rewrite. Compare both texts and restore the original meaning. Keep your checked note until you have finished the task.

Keep control of what you record and share

Dictating your own note is different from recording another person’s conversation. Get their agreement before recording them, and follow workplace rules for any work material. Check where the dictation feature processes audio and where the writing tool stores text; these may be different services.

A familiar-sounding voice is also not proof of identity. The FTC warns that scammers can imitate a loved one’s voice. Verify an unexpected urgent request through a phone number you already know.

Once a short note works well, try our guide to turning voice notes into a first draft. Increase the length only when you are comfortable checking the text.

Can one missing word change the invitation?

The captured text says “We are collecting money,” but the spoken note said “We are not collecting money.” Should you ask AI to make the invitation friendlier before correcting that?

Reveal the first correction

Correct the captured text first: “We are not collecting money.” A friendlier rewrite can preserve the wrong meaning if its source is wrong.

Then check October 12, 2 p.m., Room 4, the maximum of three books, and the separate October 8 reply date.

Refreshments must remain undecided. Keep your checked note alongside the final invitation until both say the same thing.

If the rewrite keeps changing a fact, use your corrected note and edit the invitation yourself. Confirm any unclear name or date with the speaker before sharing it.

Help if you get stuck

A name or number is repeatedly misheard

Type that correction directly. Try a short sentence in a quiet setting and check the chosen language and microphone. Repeating the entire note is not always the quickest fix.

The text is right, but the invitation changes a fact

The error is in the rewrite. Ask for the specific fact to be restored and compare the revised invitation with the checked note again.

I cannot find the microphone control

Use the Microsoft or Apple instructions linked above for your device. A messaging app’s microphone may record a voice message instead of typing text, so begin in a blank note.

You have finished when: both the captured note and the final invitation preserve the same dates, numbers, limits, and unanswered question.

Finish this practice

You have finished when: your invitation preserves the original note’s names, times and meaning, including any word such as “not” that changes the request.
